*Athens First Presbyterian Administrative Assistant *
*Purpose: *
To support the administration of the church’s mission, including managing and staffing of the church office, preparing materials for Sunday worship, coordinating of church and office buildings’ use and rental of private apartment.
To act as financial administrator of church finances and provide administrative support for pastor and church leaders.
I.
*Title: *Administrative Assistant
II.
*Accountability:* The pastor is head of staff and day-to-day supervisor.
The
Administrative Assistant also works directly with Session Committees to assist with their activities and reporting duties.
III.
*Duties and Responsibilities:* a.
Provides administrative support to the pastor and other professional church staff b.
General secretarial duties including management of daily mail, email and phone calls, maintaining office electronic and paper files and office supplies and equipment c.
Coordinates volunteers, as available, to staff church office when Administrative
Assistant is out on vacation or sick leave d.
Receives and completes administrative and secretarial tasks from Session and it’s committees e.
Manages production of church materials, including weekly bulletins and monthly newsletters f.
Schedules and assigns rooms for church function and outside groups and maintains calendar and any relevant invoicing for building use g.
Acts as rental manager for the church apartment h.
Assists Clerk of Session with reporting requirements i.
Maintains accurate financial records including all reports required for Session and
Presbytery j.
Performs bookkeeping duties along with MSN accounting, including payroll, new employee paperwork, paying bills, maintaining donor records, and reconciling bank accounts, parking lot leases.

Performs routine cleaning of the first floor rooms of Putnam House
IV.
*Qualifications:* a.
Must have a minimum of high school diploma, preferably college work.
b.
Must have the following personal characteristics: positive attitude, friendly to and respectful of all persons, dependable, trustworthy, maintain confidentiality, good interpersonal skills.
c.
Proficient in applicable computer programs, such as Microsoft Office Suite and
QuickBooks.
V.
*Office Hours:* a.
Monday – Thursday 10:00 AM – 2:00 PM b.
Friday – 8:00 AM – 1:00 PM
VI.
*Evaluation: *Performance review will be conducted annually by Session Staff
Relations Committee and Pastor
VII.
*Sick Leave and Vacation:* a.
Four hours paid sick leave will be earned per month, with a maximum of 72 hours to be carried over from year to year.
No more than 72 hours may be cashed out at separation from employment.
Sick leave is defined as the inability to work due to personal illness or illness of spouse or child.
b.
After one year, two weeks paid vacation per year.
After five years, three weeks vacation allowed.
Four weeks paid vacation per (112 hours) will be allocated after 15 years of service.
Vacation days must be used in the year earned and scheduled in advance with the Pastor.
c.
Office paid holidays: New Year’s Day, Martin Luther King Jr.
Day, Presidents
Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and
Christmas Day and December 26.
d.
There will be no paid personal leave separate from vacation, sick leave, or office holidays.
Yearly salary: $26,000.
